The Real Estate Executive Assistant to the Lead Agent is an individual who is willing and able to earn the right to be an “Assistant Executive”. This person relishes the opportunity to build, implement, and manage multiple systems. The Executive Assistant is deeply committed to completing tasks the right way with a high degree of quality. This person has immense focus and can do one thing for a long time without getting distracted. This individual may exhibit some drive and desire to influence; however, the overriding marker of his/her behavior is persistence and stability.
An Executive Assistant is deeply committed to supporting the Lead Agent in achieving greater and greater levels of success, and to growing his/her own skills and developing into a supportive leader within the team. As the success of the team grows, this individual will be responsible for hiring, training, and leading additional team members to ensure all business functions of the company are completed to high standards with maximum efficiency.
GENERAL JOB RESPONSIBILITIES:
•Assisting with Lead Agent communication by reviewing and formatting communications (presentations, emails, speeches, reports, Excel spreadsheets); ensuring a consistent and professional communication format is used; distributing reports and action items to the Executive team as appropriate; composing and sending independent responses to emails, when appropriate; fielding incoming correspondence (phone calls, faxes, email); selecting the appropriate communication method based on situation, urgency, and message content; ensuring communication is timely; creatively using communication technology; and maintaining contacts in data base.
•Managing and maintaining Lead Agent schedule by continually updating calendar to ensure it is up-to-date and accurate; arranging meetings to maximize manager’s time efficiency, while balancing business and corporate priorities; determining if Lead Agent should be alerted or meeting should be rescheduled when Lead Agent is running behind; and determining which events require manager’s presence and which do not.
•Managing travel arrangements and expenses by making travel arrangements (e.g., airfare, hotel, rental car) according to corporate standards; managing credits, upgrades, and preferences; creating standardized, professional itineraries and calendar notifications; verifying all travel arrangements; managing memberships to airline clubs; maintaining records for mileage and travel reward programs and creating monthly reports; and processing all expense reports, ensuring timely and accurate submission according to expense guidelines.
•Completing daily administrative functions by developing and maintaining a filing system structure for easy access, storage, retention and housekeeping; purchasing equipment and supplies; receiving, screening, and directing visitors to avoid interruptions; attending meetings to take minutes; preparing invoices; processing and approving vendor invoices, including purchase orders; submitting invoices to accounting; maintaining trade publication subscriptions.
•Overseeing corporate events, meetings, and working sessions and results by coordinating with facilitators or leaders to plan meeting/event; managing agenda creation and participation standards (e.g., preparing standard templates for leaders to populate); ensuring invitee list includes all relevant participants; arranging meeting space, catering, audio-visual equipment and other tools when required; taking minutes during senior meetings; ensuring assigned deliverables and duties emerging from the sessions are known; and tracking completion of deliverables.
•Participating in ad hoc projects by identifying ways personal knowledge, skills, abilities and accomplishments can add value; building business plans or proposals to leverage these assets; securing approval to commence work; tracking progress; and institutionalizing successful projects as standard operating procedures.
•Representing The Real Estate 716 Team of Keller Williams Realty by developing and maintaining comprehensive knowledge of The Real Estate 716 Team services, value propositions, and expansion plans; communicating The Real Estate 716 Team competitive advantage to customers in a compelling articulate manner in speech, writing and formal presentation; behaving in ways that demonstrate corporate core values and culture; developing professional and positive relationships with customers and colleagues; maintaining a reputation of competence, integrity and professionalism.
ADDITIONAL RESPONSIBILITIES:
*Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
*Responsible for all financial systems, including maintaining the books, paying the bills, handling payroll, assuring the collection of commissions, maintaining the budget, and generating financial reports
*Oversee all contracts through closing
*Create and maintain an operations manual that documents all systems and standards
*Be the first point of contact in handling customer inquiries or complaints
*Responsible for hiring, training, consulting, and holding accountable all additional administrative team members

Bookkeeping (A/R and A/P)
Leading administrative team members
DESIRED SKILL, EXPERIENCE, REQUIREMENTS:
Real Estate License Preferred (candidates will not be disqualified on this alone)
